Position Overview:
The Academic Registrar leads the Registry function at William College, overseeing student administration from enrolment to graduation. This includes academic policy, compliance, quality assurance, student records, and data integrity. The role supports senior leadership and governance bodies, ensures regulatory compliance (e.g. OfS, HESA, QAA, UKVI), and leads on strategic projects to improve systems and processes. The postholder will manage Registry functions and works collaboratively across departments to enhance the student experience.
Responsibilities:
- Lead the formulation of the Registry department reflecting the Institute’s vision, purpose and values.
- Lead the development and delivery of academic and course administration, including students records and assessment services across the student lifecycle—from enrolment to graduation.
- Advise senior leadership on academic policy and regulations, governance, quality assurance, and regulatory compliance.
- Oversee strategic projects relating to student systems, data quality, and process improvement.
- Ensure the institution’s academic regulations and policies are current, compliant, and effectively implemented.
- Support Board of Governors and academic committees, ensuring effective governance procedures and high-quality servicing.
- Lead and support the Institution on the Office for Students (OfS) registration process and maintaining compliance with conditions of registration.
- Liaise with external regulatory and statutory bodies (e.g. OfS, HESA, QAA, UKVI) to ensure institutional compliance.
- Oversee key operational areas including admissions (if relevant), registration, timetabling, examinations, assessment, progression, awards, and graduation.
- Ensure the accuracy, security, and integrity of student records and data.
- Lead the management and development of William College student record system.
- Lead and develop Registry team, ensuring outstanding performances.
- Attend relevant committees’ meetings as per William College’s Governance Structure and Framework.
- Ensure Registry complies with regulations, policies and procedures including the Equality, Diversity and Inclusion Policy.
- Ensure effective resource planning, training, and performance management within the department.
- Review and implement both William College and academic partners’ regulations, policies and procedures in collaboration with relevant departments.
- Provide expert advice to academic departments on policy and academic regulations to ensure full compliance.
- Work collaboratively with academic and professional services to ensure an outstanding student experience.
- Adhere to the provisions of data protection legislation and ensure GDPRs legislations are strictly followed by Registry team.
Person Specification
- UK Master’s Degree or equivalent.
- Experience of managing and leading teams within Registry Division in Higher Education setting.
- Experience of leading activities that improve and impact student experience.
- Excellent writing, communication and interpersonal skills.
- Excellent computer skills (including Microsoft Office, in particular Work, Outlook and Excel).
- Ability to engage, work and influence positively different groups of people.
- In-depth understanding of HESA and OfS requirements.
- Understanding of UK Higher Education sector and current regulatory requirements and legislations.
- Excellent problem-solving skills and ability to work under pressure with tight deadlines.
- Experience of delivering training to staff.
- Ability to work independently under pressure.
- Excellent organisational skills and ability to prioritise multiple projects / deadlines simultaneously.
- Ability to manage changes and adapt to a fast growing and changing environment.
- Ability to work collaboratively across departments and divisions.
