Applications are invited to join our friendly, hard-working team of Diagnostic Appointment Administrators in Neuroradiology based at Denmark Hill.

This is a full-time, 37.5 hours per week post, our admin team work alternating shifts of 0800-1600 and 0930-1730.

The ideal candidate will possess excellent team-working, organisational, communication and problem-solving skills, will be hard working with a keen attention to detail and should be calm, friendly and eager to develop positive working relationships with all levels of staff.

This is an excellent opportunity for an ambitious administrator to join a department that is undergoing exciting developments. The successful applicant will be expected to have experience in working within a busy hospital service or equivalent setting. Experience of a busy outpatient service would be preferable.

Main duties of the job

  • Coordinating appointments using the Epic System.
  • Ensuring all patients are accurately placed on the waiting list on the Epic system.
  • Monitoring patients in the waiting area, responding to their needs and alerting appropriate members of staff if patient is in need of assistance.
  • Printing and sending out DNA (Did Not Attend) letters.
  • Providing preparation and instructions to patient where necessary.
  • Reporting equipment/system faults to the IT Department.
  • Ensuring area changes are communicated to receptionist taking over at end of two week rotation.
  • Welcoming patients, staff and all other visitors to the reception desk, dealing with all enquiries in a kind and courteous manner.
  • Checking personal details and updating them when booking an appointment or when the patient attends on the Epic system.
  • Dealing with all referral forms in accordance with the department policies and procedures.
  • Reading, interpreting information on referral forms and becoming familiar with terminology.
  • Ensuring all GP request forms are scanned for reporting purposes.
  • Collecting and dealing with post.
  • Taking post to the post room to ensure prompt delivery of appointment letters.

Education and Qualifications

  • Educated to GCSE/ O level or equivalent work-based experience.

  • Knowledge/experience of working in an NHS setting.
  • Competent in use of the Epic system.

  • Good interpersonal skills.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
